Mobility Online manual for outgoing students

Vytautas Magnus University uses the Mobility-Online software to facilitate the process of Erasmus+ exchange studies. This user guide will help you to submit a valid application for exchange studies. Mobility-Online guides you through all the steps of the application process, the steps that you might need to complete during your studies and, finally, guides you through the steps that must be made after the mobility to successfully complete your exchange studies and the settlement after them.




  1. Application details
    This information will be filled in automatically, you only need to select “continue” to fill in your information.
  2. Personal details
    Please make sure to indicate your First name, Last name and other personal information without any mistakes, as in your passport/ID.
  3. Data concerning the stay abroad
    You must indicate:
    - Preferred semester for your Exchange studies;
    - Country and name of Host institution (up to 5);
    - For each selected institution, you need to indicated the courses or research areas that you will study at the host institution.
  4. Language knowledge
    You must select:
    - Your mother tongue language;
    -All the foreign languages that you know and their knowledge levels.
  5. Other information
    • You must select if you would agree to go on
    exchange without an Erasmus+ scholarship
    (with a “zero scholarship”);
    • Indicate your work, studies, participation in different projects experiences and so on. Add the contact person information if we would need to confirm your experience.
    • In the motivation letter, please motivate why you would like to study at the selected Higher Education Institution(s);
    • Confirm that you given information is correct and send the application.
  6. Wait for an E-mail link
    After finishing the application, you'll be sent an email to the address you provided, containing additional instructions. Inside this email, you'll discover a link crucial for progressing with the application procedure.

  7. Registration step 1 of 2
    Enter the same date of birth as you did when filling the application form and “continue”.
  8. Registration step 2 of 2
    Create your username and password and press “continue”.
  9. Login to Mobility Online
    • Once you have completed the previous steps, you will see a window, indicating, that your registration has been successful.
    • Now you must Login to Mobility Online and proceed with the application process.
  10. After login in you will see the following page:
  11. Click "answer questions about previous mobility"

    Here you will have to answer if you already studied or had a traineeship under the Erasmus+ programme in the study cycle you are studying now.
    • If you had – you will have to provide the exact dates of your mobility.
    • After providing the information, click "Create" and then "Back".

  12. Upload your passport photo


    After uploading your passport/documentary photo, click "create" and you will get back to the main page of your Mobility-Online workflow.
  13. Upload confirmation of language proficiency - optional

    If you have a confirmation of your foreign language proficiency, you can upload it here. It is optional to do so.You have completed your application!
    • Thank you for uploading the necessary documents.
    • Your application is now being processed by the International Cooperation Department.
    • You can view any status changes on your Mobility-Online workflow. Apart from that, you will be contacted per email as soon as there is any decision concerning your application. Thank you for your patience.





Congratulations on being accepted for Erasmus+ studies in EU/EEA countries!

These are the step-by-step instructions to ensure successful preparation for your exchange studies.
! In case you have any questions about further process after being selected for Erasmus+ studies, please read this manual before contacting the International Cooperation department coordinator.

  1. Confirm your allocation
    • You have been allocated to one of your selected partner institutions.
    • If you agree with the allocation, please login to your Mobility-online account to confirm the allocation as soon as possible.
  2. Nomination
    After you confirm your allocation, the International Cooperation department will nominate you to the Host institution when possible.
    You will see if your nomination has been sent on your workflow:
  3. Application for the Host institution
    • After being nominated, students must individually find out and follow the application procedure and the application deadline in the partner University where they will go for exchange. Partner universities most of the time send the application information to students via email.
    • After receiving the information from partner University (or finding it online), please confirm that the information has been received and continue with further steps.
  4. Follow the remaining steps on the Mobility Online platform
    • After applying to the Host University and receiving information from VMU regarding the documents that you must submit to VMU International Cooperation department, please follow the steps on the Mobility Online platform regarding the documents you must submit to VMU and other information.





Here you can find the step-by-step instructions to ensure successful upload of documents and finalizing your Learning Agreement for your exchange studies.
! In case you have any questions about how to submit documents for you Erasmus+ studies, please read this information first.

  1. Before the Mobility – Selection and nomination
    Login to your Mobility Online account to confirm that you have received the information about required documents from VMU and indicate details about emergency contact person.
  2. Before the Mobility – Selection and nomination. Uploading documents
    Follow up with the remaining questions and please upload the listed documents.
    *It is not necessary to upload documents in the given order.
     
  3. Before the Mobility – Selection and nomination. Uploading documents (for students with the fewer opportunities)
    If you are a student with fewer opportunities, eligible for an additional scholarship, please upload the request form for the additional scholarship and supporting documents.
    *More information and descriptions of groups of persons with fewer opportunities can be found in English (step 2) and Lithuanian (2 žingsnis).​

  4. Before the Mobility – Selection and nomination. Intensive language/culture courses (optional)
    - Erasmus+ scholarships may be provided for intensive language/culture courses which may be happening at the receiving institution (University you are going to for Erasmus+ studies) before the official start of the semester. Please note that scholarship is provided only for the additional period (if the courses are held before the official start of the semester/orientation days), it does not finance the language courses themselves if you have to pay for them. Not all institutions offer such courses, thus you should ask the receiving University about them if you are interested.
    - If you would like to participate in the courses offered by the institution in which you will be having your Erasmus+ experiences, please upload a calendar or a letter from the accepting institution with the indicated courses dates.
     
  5. DLA (Digital Learning Agreement) – Before the Mobility
    Complete your Learning Agreement (please see further information for step by step guide).
  6. DLA (Digital Learning Agreement) – Before the Mobility. Indicating the responsible coordinator at the Host institution
    Please indicate the information of the responsible person at the Host institution.
    ! Note: this person will have to sign your Learning Agreement, thus you need to change the information already indicated in the system by choosing “forward to update” and to save select “update”.
    It is very important, otherwise your document will not reach the correct person for signing the LA.
  7. DLA (Digital Learning Agreement) – Before the Mobility. Completing your personal details

    Complete your personal details: fill in your information and select “create”.
     
  8. DLA (Digital Learning Agreement) – Before the Mobility. Entering courses at VMU

    Enter courses that will be recognized at VMU after your exchange studies. Select “enter further courses”.

    Each course has to be entered and saved one by one:
    1. Enter the course code at VMU;
    2. Enter the title of the course at VMU;
    3. Enter the number of credits of the indicated course;
    4. Press “create” then “close” and repeat the same steps with every course you need to add.
    After adding all steps, go back to the workflow.
  9. DLA (Digital Learning Agreement) – Before the Mobility. Entering courses at the Host institution

    Enter courses that you have selected at the Host institution. Select “enter further courses”.

    Each course has to be entered and saved one by one:
    1. Enter the course code at the Host university;
    2. Enter the title of the course at the Host university;
    3. Enter the number of credits of the indicated course;
    4. Press “create” then “close” and repeat the same steps with every course you need to add.
  10. DLA (Digital Learning Agreement) – Before the Mobility. Signing and approving the Learning Agreement
    After entering all courses, please select “final check before signing”. You will see the generated Learning Agreement.
    If all the information provided is correct, please select “Sign and Transfer”.! Now you have to wait for the courses to be reviewed by your Academic coordinator in the Faculty and by the Host institution. When your LA will be fully approved, you will receive an email from the system confirming the approval.

  11. Before the mobility – Scholarships. Email from VMU ICD

    Before moving to the next step, you will receive an email from VMU ICD regarding your Bank details and the Grant agreement. We kindly ask you to be patient and wait for the email.
    ! After the email will be sent, you will be able to move forward on the Mobility Online platform and you will see available steps on your workflow.

  12. Before the mobility – Scholarships. Completing your bank details

    Please select „Complete bank details“ and make the correct selection regarding your bank account.
    Please note, that the scholarship will be paid only to your personal bank account indicated in the VMU Student Portal. If you have not provided the data yet, please do it now by this link --> Instructions on how to submit the bank account number to VMU Student Portal.
