Mobility Online manual for incoming students

Vytautas Magnus University (VMU) uses the Mobility-Online software to facilitate the process of Erasmus+ exchange studies. This user guide will help you to submit a valid application for exchange studies at VMU. Mobility-Online guides you through all the steps of the application process, the steps that you might need to complete during your studies and, finally, guides you through the steps that must be made after the mobility to successfully complete your exchange studies.




After your Home University submits your nomination to Vytautas Magnus University, you will receive an email from the Mobility Online system.

You must follow the information provided in the email and complete your registration on the Mobility Online system.

Make sure to enter your date of birth correctly (yyyy-mm-dd). If your University has provided your birth date incorrectly, you will be unable to complete the registration. If you cannot pass this step, please contact erasmus@vdu.lt so that we can check if your birth date was indicated correctly.

After entering your birth date you will have to create your own Login and password.

After successfully completing your registration, please choose „Login to Mobility Online“.

 





After completing your registration, you should now see your workflow which looks similar to this:

  • Please choose „complete application information“ and fill the required information.


Enter the required information, select "create" to save it and then "back" to get back to your workflow.

  • Complete filling in your personal data.

So that you can edit your personal data, you need to first select "forward to update" and then all the editable fields will be available.

! After saving the information, you will not be able to edit it.

Please note that to save your entered information, you need to choose to "Update personal details".

  • Fill out course information.

Please fill out the information regarding the courses you plan on taking during your Erasmus+ mobility at VMU. Please note that same courses shall be indicated in your Learning Agreement!

Upload the required documents and confirm that they had been uploaded.

Part of your application has been completed. Please wait for the application to be marked as "complete" (it will be reviewed and marked as "complete" after the application deadline), afterwards wait for an email from Vytautas Magnus University regarding the Learning Agreement and the final steps of completing your application.





After receiving the pre-acceptance letter with information about the further application process, you will have to submit your Learning Agreements.

First of all, make sure if your Home university uses an online platform for learning agreement or not and indicate it on the Mobility Online system accordingly:

If your university uses an online system, please select "yes", if it doesn't use an online system, please select "no" and update/save your selection.

If you have selected that your university uses an online system for the Learning Agreement, you need to use that system to submit the document and it will be sent to our system automatically.

The responsible person, from VMU side, for signing your Learning Agreement will be an academic coordinator from the faculty to which you had been nominated to. Please find the contacts of the academic coordinator here.

The contact person, that you might need to indicate, will be VMU Erasmus+ coordinator (accordingly to the faculty). You can find the contact information of the Erasmus+ coordinators here. Your coordinator will be either Gabrielė Damijonienė or Monika Lisauskaitė.

If you have selected that your university does not use an online system for the Learning Agreement, please use the form provided of your university to enter the courses an upload the signed document to our system.

Our responsible coordinators will review your uploaded document and, if everything will be okay, will sign it and re-upload it to the Mobility Online system.

Now, after receiving the fully signed Learning Agreement, please wait for the acceptance letter to be sent to you.





The official acceptance letter will be sent to students approximately within a month after the application deadline.

You will receive an email, confirming your acceptance and to it you will find attached to official acceptance letter document.

The document will include the semester and orientation days dates.

After receiving the acceptance letter, please patiently wait for more information to be sent regarding your mobility.

 





Here is the list of documents that you will have to provide upon your arrival to VMU:

  • Copy of a Health insurance. European health insurance card is enough.
  • Copy of Visa. Has to be uploaded only by non-EU citizens that do not have a temporary residence permit (TRP) issued by another European country.
  • Certificate of attendance. This document, in most cases, is provided by the Home university. It can be named differently, in example: Period statement, arrival certificate, certificate of stay, etc. Please make sure to upload this document with your full name indicated. If the document also asks for other personal information (student id, birth date), please indicate it too. Please do not indicate your arrival date or sign the document, if students signature is not requested. The dates will be indicated by the VMU Erasmus+ coordinator.
    The document will be signed, stamped and uploaded on the system within two weeks after the orientation days.
    Please note, the certificate will be only signed after your arrival and registration at the International Cooperation department. If you will miss the orientation days, your document will be signed later, only after we will know about your arrival.





Incoming students can request to extend their Erasmus+ study period for a second semester only during Autumn semester.

An email will be sent by the Mobility Online system during Autumn semester regarding the extension procedure.

First of all, students will have to update their Mobility Online workflow and indicate if their want to extend their study period or not:

Then, students, who will be interested in prolonging their stay at Vytautas Magnus University, will have to:

  • fill in and upload the extension request form.
  • create a new Learning Agreement for Spring semester

If the period extension will be approved by VMU, students will receive an email about the further process.
